About the Event

Can I get CME credit?

Yes! Our programs will offer CME credit. Individual CME offerings are identified on the information page and mobile app for each program.


Is this therapy? 

No.  Though many may find our workshops “therapeutic”, we do not define the professional programs of Happy Doc Summer Camp as offered by Angels of Hippocrates as therapy.


Can I bring my whole family?

You sure can! Every program has both individual and family pricing options available. However, we do not provide daycare, so you’ll have to be sure to have someone else along to watch your little ones.


What about privacy and confidentiality?

What happens at Happy Doc Summer Camp stays at Happy Doc Summer Camp!  All records are confidential and will remain so at all times.  We are here to provide a supportive, encouraging environment where you can let your hair down and relax.  


What if I need to cancel?

Sometimes, schedules change and you may not be able to attend Happy Doc Summer Camp. We have a generous refund policy based on the dates of when you submit a notice of cancellation. We recommend that you purchase travel insurance to protect your investment from unexpected cancellations, flight delays, lost luggage, etc.

What are the cabins like?

These are pictures of the cabins and the interior of one typical cabin. All of the cabins are summer camp style housing with individual beds, "cubby holes" for storage, electrical outlets, toilets, sinks, showers, and lots of hot water. A typical cabin holds 8 people at capacity. The housing option you choose will determine how many other people are in your cabin.  There are both smaller and larger cabins and one cabin more suited for those who have mobility challenges.  Cabins are spread over the camp with the main camp amenities near the center. Whether you want to be close to the action or far from the crowd, there are a number of cabins that will be available for you to choose. You can request your housing preference when you register.

You are welcome to decorate your cabin as you wish. You can hang holiday lights, drapes, or rearrange the cabin as you see fit for the duration of your stay. All we ask is that you restore everything back to its original condition prior to your departure.


So the cabins are being renovated?

Yes, and not just the cabins!  Pocono Valley resort has been doing significant upgrades over the past two years.


Can I request a specific cabin?

Sure! At the time you register, you can request to be housed in a specific cabin or with specific people. We will try our best to accommodate your request. 

Please note that depending on availability of room in a cabin and the time that your request has been made, we may not be able to guarantee specific housing requests. This usually is not a problem unless the camp is full or there is a large group that wants to be housed in a specific cabin or in a particular location at camp. If you have any questions, just ask!


Can I move to another cabin?

Sure! If for some reason that you're not happy with your cabin or cabin mates, just let the staff know and we'll move you to another location. We keep track of who's assigned to where in case there is an emergency and it also helps us know what open beds there are if people need to be moved or we have last minute registrants.  If you move to a cabin of a different occupancy level (e.g., "quad" to "double") you will need to pay the difference when moving.


Can we decorate our cabin?

Absolutely! In fact, it's encouraged. We want you to have the time of your life and if that means you want to make your cabin more "homey" and festive, by all means, please feel free to do so. You may add holiday lights, hang pictures, posters, drapes, etc. All we ask is that you return your cabin to its original condition prior to your departure. 

Outside of that, have fun!


Can I stay at a nearby hotel?

Of course, you can! Contact us for information on hotels nearby.

We understand that there might be some that may not like the concept of group housing or sharing their personal space with others and may opt to stay at a local hotel. That's perfectly fine.

If that is the case and you do want to stay off camp, hotel costs are not included in your reservation fees and will be paid separately directly to the hotel. Unfortunately, we are unable to offer you a credit or discount for staying off camp. The camp charges Happy Doc Summer Camp the same rate whether you stay on camp or at a nearby hotel.


Can I stay in a tent?

Sure! You're welcome to make this event whatever you want it to be. Camping is permitted in most areas of camp, but due to some of the infrastructure of pipes and wires, camping in certain areas is not permitted. Upon arrival, our staff will be happy to help you with finding your perfect spot to pitch your tent.

Because this is a summer camp and not a typical camp for tents and RV's (like KOA campgrounds), there are no permanent or assigned tent locations. Walk around the camp and if you find a spot you like under a nice shade tree, go ahead and pitch your tent after you check with the staff.

If you do want to stay exclusively in your tent, you will be assigned a cabin for bathroom and shower privileges.


Can I bring an RV?

Of course! Like the issue of tents, RV's are permitted only in certain locations. Please check with the staff upon arrival to find out the best location(s) for your RV.

Since this is a summer camp, it's not set up like a traditional KOA campground for RV's. Thus, there are no permanent RV set ups, meaning there aren't any power, water, or sewer hook ups. If you need power in your RV, you may be able to run an extension cord to a nearby cabin or other building. For those that stay in an RV, you will be assigned to a cabin for bathroom and shower privileges.

What is included in my registration fee?

NO HIDDEN COSTS!

For Events at Pocono Valley Resort: Your registration fees provides you an all-inclusive professional conference including our CME programming, housing, meals, beverages, entertainment, access to all camp amenities, and linens. If you’re flying in, the closest airport is Newark International Airport.

For Events at Glacier Rock Wellness Ranch: Your registration fee will cover CME programming and meals as specified on the event page. Because there are very limited lodging/RV facilities at Glacier Rock Wellness Ranch we recommend you make lodging arrangements with them directly. Alternatively, we recommend Cowlitz River Lodge (888-305-2185). Housing can also be obtained on sites like hotels.com and airbnb.com. Be sure to book early, as these sites tend to fill up in late spring or early summer.

For Events at Outrigger Kona, Kaua’i resort and spa, or outrigger Wikiki Paradise Hotel: You registration fee will cover CME programming and meals as specified as the event page. FOR KONA PROGRAMS ONLY registration includes one adult ticket to the Lu’au. You can purchase additional Lu’au tickets at a discount as specified on the registration page. Discounted rooms at Outrigger Resort and Spa are available from the link on the registration page.


Do you offer group rates?

Yes!  Please consult the appropriate event page for details.


What is your refund policy?

Refunds must be requested only in writing (e-mail, OK) to document transactions and provide an audit trail. It helps protect us and you by documenting everything in writing, especially when it comes to financial transactions.

REFUND SCHEDULES VARY BY VENUE, SO BE SURE TO CHECK THE REGISTRATION PAGE FOR DETAILS!!

If not otherwise specified, the following fees apply:

  • Up to 60 days before event: $150 cancellation fee.

  • Up to 30 days before event: $250 cancellation fee.

  • Within 30 days of even: no refunds (though you can transfer your fee to a future Happy Doc event).

Refunds will be processed within seven (7) business days after the request has been received. Credits to your credit card may take 3 - 5 business days before you see it on your statement. If you paid by check or money order, a check for your refund will be sent to you within 7 business days.

RegFox (our registration provider) is now providing Trip insurance. You can purchase it during checkout, and the fee will automatically be calculated for you.


Is my privacy protected?

Yes, we take privacy very seriously.  What happens at Happy Doc Summer Camp stays at Happy Doc Summer Camp.

We use all information provided during registration to provide you with our services. We do not release this information to any outside organization or sell our mailing list to anyone. All membership information you supply will be used only to process requested transactions or to contact you regarding a specific need.


What are the payment options?

We've tried to make booking a reservation and payment as simple as possible. If you register online through our electronic reservation forms, you can pay with one of the major credit cards - VisaMasterCardDiscoverDiners Club, and American Express.

Can you apply my fees to a future event?

Happy Doc Summer Camp is unable to accommodate the request to transfer a paid registrant's entrance fees to a future event. However, entrance fees are transferable to another person - contact us for details. If a paid registrant cannot attend Happy Doc Summer Camp, he / she can also request a refund according to the refund policy. We also recommend that you protect your travel investment by purchasing a travel protection plan.


What if the event is canceled due to war, civil unrest, etc?

In the event Happy Doc Summer Camp is cancelled, postponed or unable to be held due to acts of war, natural disaster, hurricanes, floods or other weather emergencies, public unrest, terrorism, or other causes beyond the reasonable control of Happy Doc Summer Camp, we shall not be obligated to refund any registration fees, either in full or in part. This is highly unlikely to happen but we do have to disclose this to you in the extreme off chance that Happy Doc Summer Camp is cancelled for reasons beyond our control.

Therefore, we highly recommend that you protect your travel investment by purchasing a travel protection plan.


Is there a returned check charge?

If you attempt to pay by check and we find that your check did not have sufficient funds, we'll contact you and let you know. In order to cover our costs for a NSF check, there is a $33 bank fee to cover your NSF charge. This will have to be paid in addition to your reservation fees and confirmation of your attendance.


How do I know my reservation is processed?

After you successfully submit your booking reservation, your payment will be processed and you will be e-mailed a confirmation number. If you think you did not receive your confirmation, please check your "spam" or "junk mail" file first - but if you need help you can always contact us.


Can I claim a business deduction?

You may be able to claim this conference as a work-related business expense. Contact your tax adviser for more details.
